What we hold, why we hold it, and what we will not do with it.

RxNaija carries medical conversations. That makes this document a description of real obligations rather than a formality, so it is written to be read — plainly, in the order the questions actually occur to you.

1. Who we are

RxNaija is a product of RXNAIJA HEALTH LTD, a company registered in Nigeria (CAC Registration No. 8345514). In this policy, "we", "our" and "us" mean that company.

RxNaija lets a Nigerian community pharmacy answer its customers on WhatsApp — quoting prices from the pharmacy's own catalogue, taking orders, and handing anything clinical to a registered pharmacist. This policy covers our websites, the pharmacy dashboard at app.rxnaija.com, the websites pharmacies publish through us, and the WhatsApp assistant itself.

We handle personal data under the Nigeria Data Protection Act 2023 and the regulations of the Nigeria Data Protection Commission.

2. Who is answerable for your data

This is the first thing to get straight, because the answer differs depending on who you are, and it decides who you should ask when you want something changed or deleted.

You are a pharmacy We are the controller

For your account, your staff's details and your billing, we decide how the data is used and we answer to you directly.

You messaged a pharmacy We are the processor

Your conversation, your orders and your purchase history belong to that pharmacy. We hold and process them on its instructions.

What that means in practice

If you are a patient or customer and you want your data corrected or erased, the pharmacy you messaged is the right first place to ask — it is their record. You can also write to us and we will act on their instruction, or pass your request to them. We will not quietly delete a pharmacy's clinical or transaction records without them knowing.

3. What we collect

If you run or work at a pharmacy

  • Your name and email address, to create and sign you into your account.
  • Your pharmacy's details — its name, address, opening hours, the public phone number and the WhatsApp number customers message.
  • A staff alert number, if you set one, so new orders can be sent to a phone rather than only to the dashboard.
  • Your product catalogue — names, prices and stock levels you upload or sync. This stays private to your pharmacy; we do not publish it and we do not show it to other pharmacies.
  • Anything you upload for your website, such as a logo.

If you message a pharmacy on WhatsApp

  • Your WhatsApp phone number and the display name WhatsApp shows.
  • The content of your messages and the replies sent to you.
  • Your orders — what you asked for, quantities, prices and whether the pharmacy confirmed, rejected or completed them.
  • Answers you give when the assistant asks about a symptom, how long you have had it, or medicines and allergies — recorded so a pharmacist does not have to ask you everything twice.

When someone visits a pharmacy website we host

These pages are deliberately the least intrusive thing we build. They contain no JavaScript at all, so there is no analytics snippet, no pixel and no third-party tracker on them.

We record counts, not visitors

For a published pharmacy website we store only a running total per day — how many times the page was served, and how many people tapped WhatsApp, the phone number, the map or the email link. We do not record your IP address, your browser, a session, a referrer or a cookie. The date is stored as a day rather than a timestamp specifically so that individual visits cannot be reconstructed from it afterwards.

Technical data on our own dashboard

When you sign in to app.rxnaija.com we process the usual server request data needed to run and secure a web application, and we store a sign-in session in your browser. We do not use advertising cookies and we do not run third-party advertising trackers.

What we do not collect

  • No card or bank details. RxNaija does not process payments. Customers pay the pharmacy directly, and no payment card data reaches our systems.
  • No precise location. We do not ask for or track device GPS location.
  • No selling of data. We do not sell personal data, and we do not share it with third parties for their own marketing.

4. Health information

Some of what passes through RxNaija is health data, which Nigerian law treats as sensitive. We handle it accordingly, and we are specific about its limits.

When a customer repeatedly buys a medicine associated with a long-term condition, RxNaija can flag that customer to their pharmacy so repeat supply and refill reminders work. That flag is an inference drawn from purchase history. It is not a diagnosis, it was not made by a clinician, and it is shown to pharmacy staff labelled as such.

The assistant does not give clinical advice

Questions about doses, children, pregnancy, interactions or symptoms that need judgement are escalated to a registered pharmacist rather than answered. This is a designed limit, not a disclaimer: the software stops and waits for a person.

5. How we use it

We use personal data to:

  • Run the service — answer messages, quote prices from the pharmacy's catalogue, take orders and notify the pharmacy.
  • Pass clinical questions to a pharmacist, with the context needed to answer them.
  • Send order updates and, where relevant, refill reminders for a repeat medicine.
  • Show a pharmacy its own performance — orders, conversations, and what customers asked for that it does not stock.
  • Keep the service secure, find and prevent abuse, and diagnose faults.
  • Meet our legal and regulatory obligations.

Our lawful bases are performance of a contract (running the service you or your pharmacy signed up for), legitimate interests (security, fault diagnosis, improving the product), consent where we ask for it, and legal obligation where the law requires retention.

6. Who else sees it

We share personal data only with the providers needed to run the service, and only what each one needs:

  • The pharmacy you messaged. Your number, name, order and the conversation are shown to its staff — that is the point of the product.
  • WhatsApp (Meta). Messages travel over WhatsApp, so its own terms and privacy policy apply to them in transit.
  • Supabase. Our database, authentication and file storage provider.
  • OpenAI. Message content is sent to a language model to generate the assistant's replies. It is processed to answer that conversation, not to advertise to you.
  • Authorities, where we are legally required to disclose, or where it is necessary to protect someone's safety or our rights.
  • A successor, if the business is merged, acquired or transferred — in which case this policy continues to apply to the data transferred.

7. Where it is stored

Our database is hosted by Supabase in the European Union. Some of our processors, including OpenAI, operate outside Nigeria and the EU. This means personal data collected in Nigeria is transferred and stored abroad.

Where we transfer data outside Nigeria we do so on the bases permitted by the Nigeria Data Protection Act 2023, and we require our processors to protect it to a standard consistent with that Act.

8. How long we keep it

  • Pharmacy accounts — for as long as the account is open, and afterwards only where a legal, tax or regulatory duty requires it.
  • Conversations and orders — kept as part of the pharmacy's record, because a pharmacy needs to be able to show what it supplied and to whom.
  • Website counts — kept as daily totals, which hold nothing identifying about any visitor.

When a pharmacy closes its account, we delete or irreversibly anonymise its data within 90 days, except where retention is required by law or needed to resolve a dispute.

9. Your rights

Under the Nigeria Data Protection Act 2023 you may ask us to:

  • Confirm whether we hold personal data about you, and give you a copy.
  • Correct data that is wrong or incomplete.
  • Delete data, where there is no lawful reason for us to keep it.
  • Restrict or object to a particular use.
  • Provide your data in a portable form.
  • Withdraw consent, where our use rests on consent.

To exercise any of these, email support@rxnaija.com. We may need to verify your identity first. If you are a customer of a pharmacy, see section 2 — the pharmacy holds that record and we will act with them.

If you are unhappy with our response, you may complain to the Nigeria Data Protection Commission.

Stopping messages

You can tell a pharmacy's WhatsApp assistant to stop messaging you at any time, and it will stop. Your existing orders and conversation history are kept as part of the pharmacy's record, but nothing further will be sent to you unless you message first.

10. Children

RxNaija is intended for pharmacies and for adults buying from them. We do not knowingly collect personal data from children. A parent or carer may of course ask about a medicine for a child — in which case the question is about the child, and any question needing clinical judgement is passed to a pharmacist rather than answered by software.

If you believe a child has provided us with personal data, contact us and we will remove it.

11. Security

  • Traffic to our dashboard and to published pharmacy websites is encrypted in transit.
  • Stored WhatsApp credentials are encrypted.
  • Each pharmacy's data is separated at the database level, and that separation is enforced by the server rather than by the interface — one pharmacy cannot read another's customers, catalogue or website.
  • Published pharmacy websites are rendered entirely by our server and carry no executable script, which removes an entire class of attack against visitors.

No system can be guaranteed completely secure, and we do not claim otherwise. If we become aware of a breach affecting personal data we will notify the affected parties and the Commission as the Act requires.

12. Cookies and browser storage

We do not set cookies. Not on the dashboard, not on the pharmacy websites we publish, and not for advertising or analytics. There is no cookie banner on this site because there is nothing to consent to.

Two things are worth explaining, because "no cookies" on its own can sound like a claim that nothing is stored anywhere.

  • Signing in to the dashboard. When you sign in at app.rxnaija.com your browser keeps a sign-in session so you are not asked for your password on every page. It is held in your browser's own local storage rather than in a cookie, which means it is never attached to requests to any other website and cannot be read by one. It stays until you sign out or clear your browser's site data for app.rxnaija.com, and clearing it simply signs you out.
  • Visiting a pharmacy website we host. Nothing is stored in your browser at all. As section 3 describes, we count how many times a page was served and how many people tapped WhatsApp, the phone number, the map or the email link, recorded against the day rather than a timestamp. No cookie, no IP address, no browser fingerprint, no session and no referrer — so those counts cannot be turned back into individual visits, including by us.

Published pharmacy websites carry no executable script of any kind (section 11), which is also why they cannot host a third-party analytics or advertising tag even if a pharmacy asked for one.

You can set your browser to refuse cookies and to clear site data, and nothing we run will be affected except that clearing data for app.rxnaija.com signs you out of the dashboard.

14. Changes

We will post any change to this policy on this page and update the date at the top. If a change materially affects how we use personal data already collected, we will make a reasonable effort to tell you directly.
